Auto-Update in the Activity List

So it’s time to do a little housekeeping, or you’ve found that you have a good number of activities scheduled for users that are no longer with the company, but whose USER has not yet been removed from GoldMine.  No matter what is prompting the need to complete or delete a large number of activities, GoldMine has an easy way to get the job done using the Auto-Update feature in the Activity List.

  1. Open the Activities List   (Go To | Activities).
  2. Use the Show and the User menu as needed.Auto-Update_in_the_Activity_List_01
  3. Select the Open Activities folder or any appropriate sub-folder as needed.Auto-Update_in_the_Activity_List_02
  4. Continue to make adjustments until the ONLY records showing are the ones you want to take action on.
  5. Right-click | Options | Auto-Update…Auto-Update_in_the_Activity_List_03
  6. The Auto-Update Activities window will appear. You can now complete or delete ALL or just some of the activities currently displayed. You also have the option of using a Result Code and/or Success flag to help identify those later as those you had completed in mass.Auto-Update_in_the_Activity_List_04

Note: Activities will retain the original user. However, just as normally occurs when completing GoldMine activities, Appointments retain their original date/time but Calls, Next Action, and Other Actions will record completed at the current date/time.

Using Constant Contact with GoldMine – Part 5

This will be our 5th and final installment on our Using Constant Contact Series.

By now we have setup the Constant Contact integration in GoldMine, compiled and exported our list of contacts, sent our campaign, received the results back into GoldMine, and located a list of contacts who have “clicked-through” our campaign. Now it’s time to schedule a follow-up call to that list.

If you activated the SQL Query from Part 5 or saved the Query, you can now use that Query in the Contact Search Center to display those records.

  1. Copy that Query so it is ready to use below.
  2. Open the Contact Search Center (also available via Go To | Search | Contact Search Center).
  3. If you are not already showing the SQL query editor in the Search Center, which is off by default, click the Options button and turn that option on in the Lookup tab.Using_Constant_Contact_with_GoldMine_10
  4. Click OK and a new window will appear in the Contact Search Center.
  5. Click the Edit button.
  6. Highlight the existing query, if there is one in there, and replace it with our copied one.

  8. Right-click within the search results list and select Tag All.
  9. Now click the Schedule button and select All Tagged Records | Call…
  10. You can even use the Series tab to spread out the calls and the Users tab to assign the calls to several users, spreading out the workload as needed.
