Taking a Phone Message

If you’re a GoldMine long-timer, this post may seem obvious. However, as a long-timer myself, I constantly have to remind myself of how much I take for granted about GoldMine.  Just last week I had someone ask “Is there an easier way to send notification of a phone message to another GoldMine user, without having to compose an e-mail or schedule an activity?”

The answer was “Absolutely!” GoldMine actually has an option for exactly that. If you haven’t noticed, there’s a Message button in GoldMine Premium Edition’s main contact window.Taking_a_Phone_Message_01
When you click that button, it brings up the Take a Phone Message window. Notice that it looks very much like those classic pink phone message sheets. (Am I dating myself here?)Taking_a_Phone_Message_02

  • The Link to selected contact is selected by default and will link the message to the active contact record. If this is not activated, the message will be sent just as a message with no associated activity.
  • Click in the To User field, and choose the user from the drop down list.
  • For the Message box we have some great choices:
    • Enter in a short subject message.
    • Choose from the F2 lookup list.  This is the same lookup as the schedule a call dialog, so you are actually scheduling a call back for the recipient with this message.
    • Simply click on one or more of the checkboxes (Returned your call, Please call, etc.) and those entries will auto fill the message box for you.
  • Select an Activity Code if you want.
  • Feel free to add any Notes as needed.
  • And of course you have the same Alarm, Private, and RSVP options available as you would for any other activity if applicable.
  • Click OK.

GoldMine will now schedule that call for that user using today’s date and time.

Displaying the Activity Code in the History Tab

Displaying the Activity Code in the History tab is a simple setting that I tend to take for granted because once it’s on, you just get used to seeing it. However, recently someone asked me if it was possible… which emphasized the need for a blog post on the topic.

By default, the GoldMine History tab shows the Result Code of the activity, however it doesn’t show Activity Code. For those of you that use Activity Codes when scheduling, it can be helpful to view and possibly filter the Activity Code in History.

  1. Tools | Options
  2. System tab

  4. Click OK
  5. Check your history tab… viola!

Introducing GMPE 2016.1

Though officially released last month, call me old school… but I wanted to wait for HotFix 1 before making our announcement. In a nutshell, what 2016.1 brings to the table, in addition to rolling up all the 2015.2 hot fixes, are more substantial enhancements to the new end-user interface known as GoldMine Web. For many customers, GoldMine Web is slowly becoming the alternative, entry-level interface for the basic user. Power-users, at least for some time, will continue to access GoldMine via the desktop interface we all know as GoldMine Premium Edition.

And so without further ado… let’s dig deep into what GoldMine 2016.1 has to offer.

WHAT’S NEW IN GOLDMINE 2016.1 (includes 2016.1 HotFix1 and all 2015.2 hotfixes)

GoldMine Web > Cases

  • A Cases list is available from the navigation bar or menu. By default, the list is filtered to Open Cases for the logged in User. A User can select to view Cases with a different Status or Owner or view all Cases. The Cases list can be sorted by the available columns – Case Number, Type, Subject, Company, Priority, Status, Deadline, or Owner.
  • Cases are also available from the new Cases section on the Contact record. From the Cases section, the user can click the View All link to see the Cases List filtered to Cases for the selected Contact.
  • Select a Case from the list or section to view or edit information about the Case.
  • A Case can be Reassigned or Escalated and an email notification can be sent to the Owner. A Case can be Resolved or Abandoned and an email notification can be sent to the Contact.

GoldMine Web > Search

  • By clicking the Refine link on the Contacts page, a User can search based on desired criteria for selected default and custom fields seen in GoldMine Web. A User can select fields from the main Contact record fields (the first section of a Contact Record) or from Custom screens (the second section of the Contact Record). A User can select a search operator from a defined list. A desired value can be entered or selected from a list or calendar. A search can be done on a single field or more fields can be added by selecting the plus icon. When the Apply button is selected, the Contact List is updated to show only Contacts that meet all of the selected criteria.
  • Filters or Groups created in GoldMine Premium can be selected in the Refine section or overlay to limit the Contact List to only Contacts belonging to the Filter or Group. Search criteria can be applied to the selected Filter or Group to further limit the list of Contacts.

GoldMine Web > Additional Contacts

  • When a search for Contacts is done from the Search Bar or the Attendee finder for Activities, the user can select Contacts or Additional Contacts to view a list of results matching the value entered.
  • From the Additional Contacts search results list, the User can view and sort by Additional Contact, Company, Email address, Phone, and Primary Contact. The user can also schedule an activity for the Additional Contact using the Action icons.
  • Additional Contacts can be selected from the Attendee finder when scheduling or completing Activities.

GoldMine Web > Miscellaneous

  • When completing an activity in GoldMine Web, the option to schedule a follow up activity is available. Selecting the option will open the Schedule overlay for the same activity type as just completed. Options for scheduling a follow-up by default and carrying over completion notes will be respected in a future release.
  • A map pin icon is available on Contact records to open Google Maps with search done for the contact’s address.
  • A notification is displayed if the User is accessing a Contact Set that is in a database different from GoldMine Base tables.
  • Back to results link on Contact record returns user to Contact List on same page, with same filter, and with same order as when Contact was selected.
  • Opportunity records have a responsive layout.
  • Add History option now available from menu.
  • Users can access option to add a call, action, or appointment to history from the global menu without first scheduling the activity.
  • Email rule actions ‘File’ and ‘File To’ configured in GoldMine Premium are respected when email is retrieved during GoldMine Web login.

GoldMine Premium

  • The GoldMine Administrator can control the default values for Date and Time or User in the Complete Activity window by inserting entries into the ENVIRONMENT table as follows:

– Settings are per system; when added the setting applies for all users of current system.
– Settings do not sync; apply separately for Sites and Undocked users.
– Settings are applied per activity type:
Appointment –A, Event –E, Call –C, Next Action –T, Other Action –O, Sale –S

GoldMine Web

  • GoldMine Web Activities page graphical calendar is hidden by default on small screens. Select the calendar icon to display or hide the calendar.
  • GoldMine Web Activities page Tasks and To-Dos are collapsed by default for all screen sizes.
  • When searching for Cases or Opportunities in GoldMine Web, default results are Status: All and Owner: All.
  • GoldMine Web Contact Record Cases section displays all Cases for the selected Contact.
  • Activity type “Event” is now labeled “Appointment”
    All Appointments and Events are labeled Appointment in GoldMine Web. This does not impact the label, activity type or reporting in GoldMine Premium.
    – If an Appointment is scheduled or completed with a start and end date and time in GoldMine Web, it is treated as an Appointment in GoldMine Premium
    – If an Appointment is scheduled or completed for All day in GoldMine Web, it is treated as an Event in GoldMine Premium
    NOTE: Clear browser cache after upgrade to see this change
  • Status filter for Opportunities list is now a dropdown on small screens
  • For new installs of GoldMine Connect or re-installs where the GMMobileAppPool does not exist in IIS, the Application Pool timeout setting is now set to 30 minutes by default.


WHAT’S FIXED IN GOLDMINE 2016.1  (includes 2016.1 HotFix1 and all 2015.2 hotfixes)

  • [GMWEB] Removing Edit Tab Folders right for a user, makes the user unable to complete activities in GoldMine Web >> Contact’s Pending area while this is possible in GMPE on the Contact’s Pending tab.
  • [GMWEB] Feature request – Add the schedule a Follow-up option to GoldMine Web.
  • [GMWEB] When using forced valid input for the STATE F2 Lookup entry that contains comments in format value // comment the entry will not show as valid input in.
  • [GMWEB] – Discrepancy between security settings in GoldMine Premium Edition and GoldMine Web – e.g. Menu restrictions – Schedule and Complete is not respected in GMWEB, Access restriction Edit Tab folders is only partly respected – GMPE disallows to change.

  • When linking an email from an IMAP account with the Outlook Link, the email will duplicate continuously. This results in duplicate emails in Outlook, on the IMAP server and in GoldMine.
  • Delete an email in Outlook that has been linked to GoldMine that same email is than duplicated over and over again in Outlook.

  • When the Outlook Link is installed and running, Outlook stops retrieving IMAP email. A process at the bottom of the Outlook window shows an almost constant “synchronizing inbox” message and progress bar.
  • GoldMine Plus for Outlook is locking up Outlook, unable to click on data or menus.

  • [GMWEB] Display username in all caps

  • Documentation: References to MS SQL 2005 in Universal Search chapter need to be removed or updated to at minimum SQL 2008 as SQL 2005 version is not supported anymore in GoldMine 2015.2
  • Duplicated emails are created when manually linking an email with Outlook integration which appear as strikethrough messages, eventually they are disappearing again after restarting the machine or other unknown circumstances.
  • [GMWEB] Required fields are not indicated anymore and only when clicking into the field and then trying to leave it blank the user gets aware that this field is required
  • In addition to RM # 234029 – Auto Update feature from Activity list to respect the new capability to keep the Date/Time from the original scheduled activity.
  • Completing Group or recurring appointments using the Complete menu or button on the Pending tab will not respect any Environment settings to take over date/time or user from Environment table (RM changes # 133120, 214214 and 234029)
  • After upgrading, when refreshing the activity list it will cause it to go blank, click refresh again and it will then populate
  • Activity list does not refresh when ShowActvForCurtained=1 is set in the GM.ini
  • When a different user completes a recurring single user Activity scheduled for a different user, the completing user is taken over.
  • Reverting to user logged on when completing a single or for one user a non-recurring multi-user + multicontact activity, in addition Date reverts to today and time goes blank after completion (not respecting changes due to # 133120, 214214 and 234029)
  • The Alarm Time field appears too long when editing a multi-user activity

Using and Managing the Manual Recipient List

Occasionally, even the most dedicated GoldMine user has to send an e-mail to someone who is NOT in the database and doesn’t need to be in the database. GoldMine refers to those as Manual Recipients. We send to those by choosing the Manual recipient… option in the To menu.Using_and_Manging_the_Manual_Recipient_List_01


When selected, GoldMine will display the Manual Recipient Entry dialog box. Once you send out an e-mail using this method, GoldMine will save the e-mail address for you, allowing you to use it again in the future. If you’ve used this before, your previous addresses will show on the list allowing you to select them again.Using_and_Manging_the_Manual_Recipient_List_02


But how do you manage this list if you want to remove or even add entries? This list is managed, per user, via their user.ini file. Just open the specific user.ini (e.g. albert.ini) and scroll down to the [Last E-mail Addresses] section.

The text will look like this:

Now you can add and remove as needed. If you remove an address, you don’t need to re-number anything but if you add a new address, you won’t want to repeat a number or GoldMine will ignore the new address. You will need to exit GoldMine and log back in for the change to take effect.

Retaining E-Mail in your Inbox

If you’re like most GoldMine users I know, you let GoldMine automatically fast-file e-mails once you reply to them.  However, every so often you want to reply to an e-mail but you don’t want the original e-mail to be auto-filed.  Maybe you just replied with a confirmation but haven’t actually provided a complete response to the request.  As a result, you want to leave it in your inbox to remind you to reply properly.

So what are your choices?

  • You can change your settings, but then you have to remember to change it back. That’s my least favorite.
  • You can use the Forward button, but then you have to re-select the contact, your subject has a FWD:, and the original message shows in the body as a Forwarded Message. Personally I don’t like the way that looks.

So what else can you do?  Glad you asked….

  • An easier option that might not be as intuitive is to use the File It button. By changing the Disposal method and the Before completing items, you can Reply and Retain. This window also gives several other options, including the ability to Schedule a Follow-up activity right from this window.Retaining Email in your Inbox_01
  • My favorite method however, especially for the quick and easy Reply and Retain is to reply from the History tab of the record. I simply switch to the contact record tab, right-click the specific email in the Pending tab and select the Reply… option.  Now I can select Retain in In-Box and continue as usual. Retaining Email in your Inbox_02

Quick Snapshot – GoldMine Contact History Analysis

Have you ever just needed a quick snapshot of how hard you and your team have worked on a particular contact?  Reports and Dashboards are usually designed to give you the big picture, but what if you’re just looking for contact specific effort?  Well there’s a little gold nugget that is easily forgotten or often overlooked, the Contact Record Statistics report.

Find a prospect in your database you’ve been working for some time, or maybe an existing customer you have a new relationship with.  Any record with some history will do.  For my example, I chose a record with a fair amount of history.

  1. Click on the History tab
  2. Right-click anywhere inside the tab
  3. Select Options | Analyze…

This will show you the Contact Record Statistics report.GoldMine_Contact_History_Analysis_01

Note that this report will only look at the number of history records defined in the Right-Click | Options | Maximum number of records shown setting.

Adjusting GoldMine’s Inbox Display Limits

We last touched on GoldMine’s Inbox display limits a few years back.  Here is a link to the article which might be helpful to review.

In that post, we explained that when a user has more than 2,500 e-mails in their inbox, GoldMine will still download messages into the inbox but will not display them all.  Limiting queries to a fixed number of rows to return, keeps applications from getting sluggish when the list is too large.  Until recently, the previous article was enough.  Users would simply be encouraged to pare down their inbox count.  Though we would still highly encourage that as the best solution, a few users have expressed the need to show more, even if only temporarily.

To modify the number of e-mails that GoldMine will show in any given folder requires changing the USERNAME.ini for that user.   Here’s how:

  1. Log the specific user out of GoldMine
  2. Open their USERNAME.ini, found in the root of the GoldMine folder on the server (e.g. \\SERVER\GoldMine\Albert.ini)
  3. Search for the section called [GM_Mail_Center]
  4. Add or change the MailListCapacity entry
  5. Save and exit
  6. Allow the user to log back into GoldMine

GoldMine Web

  • Contact Search uses the operator ‘begins with’ instead of ‘contains’.
  • On Contact list, Company field does not link to primary website.

Diagnostic logs for GoldMine Plus for Microsoft Office (Word and Excel) are now user specific. To enable logging:

1.  Open the appropriate location to create folder and file for logging:

a. Enter %appdata% in Windows Explorer address bar
b. browse to user’s appdata folder – typically C:\Users\<username>\AppData\Roaming

2.  Create folder GoldMine
3.  In the GoldMine folder, create new text file and name to OfficeLink.log
4.  Launch GoldMine and Office to gather logs as needed.
5.  Once troubleshooting is complete, delete the GoldMine folder and OfficeLink.log



  • Some emails are duplicated when retrieved into GoldMine
    NOTE: Following upgrade, one copy of emails displaying this behavior will be retrieved. This copy should not be deleted as it will be seen on further retrieval attempts and will prevent the download of more duplicate copies.
  • When an instance of a recurring activity synced between Outlook and GoldMine is edited in Outlook after being completed in GoldMine, a new instance of the activity for the same date/time is created in GoldMine on next sync from Outlook to GoldMine.
  • When in a detail tab, editing or creating new, when clicking the INFO tab, the dialogue box flickers, the recently viewed items flicker and also other non-GoldMine applications.
  • Syncing Contacts with Outlook will only sync the first 35 characters of an email address from Outlook to GoldMine.
  • When scheduling or Completing activities, the Tab view and the recently viewed list will refresh causing a performance degrade.
  • Mobile and WEB not working when GoldSync or other 3rd party GoldMine related services are setup and running as a service and started prior the IIS.
  • Basic functions such as typing or copy/paste into Microsoft Word or Excel are locking up on Terminal Server environment with the Office Link active.
  • If a file is open on a workstation it will not sync using GoldSync, File cannot be compressed.
  • When creating an email in Outlook and actively set to link to Primary Contact: and then back to Not Linked a .Net error appears ‘Object not set to an instance of an object’.
  • [GMME] Unable to link a contact to an activity as the contact list only shows blank row or the top 100 contact records in the database (and no data available when searching for an existing contact).
  • [GMME] Searching for a contact in the “Add Contact” section of an activity returns no results.
  • Text\HTML; Charset UTF-8 emails are displaying corrupt when downloaded into GoldMine.
  • Remove the company name hyperlink in GoldMine WEB once a record does have a primary web site.
  • Update “FrontRange Community” in GMPE Help menu.
  • Update “GoldMine Online” in GMPE Help menu.
  • [GMWEB] After clicking sign in you are sometimes redirected to GMME and username/password are seen in address bar.
  • [GMWEB] Provide Action icons in the ACTIVITIES >> Activity list. Provide a possibility to edit AND complete the Activity from there.
  • Web import is duplicating contact2 entries for each imported contact when a lookup.ini is in use.
  • [GMWEB] Request to allow linked documents and email attachments to be viewed from GMWEB interface.
  • Feature Request: Click to Dial from GoldMine Web.
  • [GMME] Contacts are not appearing in filters and groups in GoldMine Mobile.
  • [GMWEB] If a user has been deleted in GMPE the contact’s Pending and History does not show any activities of those users for any non-master user.
  • Outlook integration performance decreases, may lock up local Outlook (since 2014.2 HF 2 causing the integration silently to disconnect), or even slowing down the SQL server for all users – due to Outlook integration not closing connections appropriately.
  • ERROR: You are not authorized to process this request Error code: 8 -When logging into GoldMine mobile, the user is almost immediately logged out of GoldMine Mobile but can use GoldMine Web.

  • Record Curtaining level reverts back to NONE if a contact record is edited in GoldMine Mobile or Web.
  • Current GoldMine Premium Edition 2015.1 does not recognize Office 2016 as a valid Office installation – request for making Office 2016 compatible with GMPE.
  • [GMWEB] Hyperlink to Contact in ACTIVITIES page Calendar bring user to full contact list instead to the contact record.
  • [GMWEB] ACTIVITIES show User Full Name only, while OPPORTUNITIES show USERNAME only, this is confusing and may lead users not being able to identify the correct users.

Moving E-Mail Attachments

Who would have thought that Attachments would be such a popular subject? This will be our 3rd post in an impromptu series on Attachments. Our last 2 posts were about Finding Attachments.

Since those posts, some of the questions we have received revolve around the Management of E-Mail attachments, specifically properly moving attachments once they arrive.

Note:  This also applies to users using the Outlook link when you write both the e-mail and the attachment into GoldMine. For Outlook users, you will want to find the e-mail in GoldMine and follow the instructions below. This will have no impact on how Outlook is storing the attachment.

In order to ensure that the link is not broken in the process, you must move the attachment from within GoldMine. If GoldMine moves the attachment for you, then it will automatically update the location so it can be located later. If you move the attachment outside of GoldMine, then you’re back to the “Finding Missing E-Mail Attachments” problem.

Assuming you have read the other posts or you are already up to speed on the background, let’s dive right into the solution.

  1. Right-click on the attachment to bring up the menu and select “Move…”.Moving_Email_Attachments_01
  2. Browse to the appropriate folder you want to store the file. Note that if you want others to be able to access the attachment, they must have access to this network share or drive mapping.Moving_Email_Attachments_02
  3. When you have found the correct folder, click OK.

The attachment will now show (assuming you have the full path option on), in its new location.Moving_Email_Attachments_03

Finding E-Mail Attachments

Our last blog post, regarding how to find missing e-mail attachments, received a lot of positive feedback and some additional questions.

Note: Your feedback and questions help drive the topics so please keep them coming.

Apparently missing attachments weren’t the only kind of attachments users needed to find. I know, “How do I find attachments that aren’t missing?” can be an odd-question… but we are talking computers here. 😀  In this situation we can likely reword it to read: “How can I track down where the file is located?”

When e-mails containing attachments arrive in GoldMine, your User Preferences dictate where and how the attachment is automatically stored.

The attachment will then be visible in the header of the e-mail message.Finding_Email_Attachments_01

Right-clicking on the attachment will allow you to turn on an option that will “Show full path name” of the file.Finding_Email_Attachments_02

With that option selected, you can now see exactly where the file is.  Normally I keep this option on all the time.Finding_Email_Attachments_03

Though there is no “Open Folder” option, there is the “Copy name to clipboard” option.Finding_Email_Attachments_04

Now you can use that text, minus the file name, in Windows Explorer or the Windows Run command, to open the folder where that file is located.
